Job Summary
We are seeking an efficient, detail-oriented Secretary III to support administrative and clerical operations across the institution. The ideal candidate will handle front-office interactions, correspondence, filing security, and executive scheduling to ensure smooth, courteous, and highly confidential operations.
Key Responsibilities & Duties
- Correspondence & Dictation: Record dictation in shorthand and transcribe it accurately into comprehensive documents; type from drafts to ensure timely communication; prepare responses to routine correspondence.
- Office & Visitor Management: Receive visitors and clients professionally and direct them appropriately; handle incoming/outgoing calls; monitor office cleanliness and order.
- Document Control & Security: Organize, classify, and maintain an efficient, accessible filing system while preserving the confidentiality of records.
- Administrative & Equipment Support: Operate printing/photocopying equipment; assist the Head of Department with presentation materials for internal and external distribution.
Minimum Qualifications & Requirements
Education: A Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) or an equivalent qualification from a recognized institution.
Technical Certifications:
- Typewriting III (50 w.p.m.) / Computerized Document Processing III
- Shorthand III (100 w.p.m.) or Audio Typing III
- Business English III / Communications II
- Office Management III & Secretarial Duties II
- Commerce II
- Certificate in Computer Applications
Mandatory Chapter Six Clearances (Required for successful candidates):
- Certificate of Good Conduct
- Tax Compliance Certificate (KRA)
- Higher Education Loans Board (HELB) Clearance
- Ethics and Anti-Corruption Commission (EACC) Clearance
- Clearance from a recognized Credit Reference Bureau (CRB)
