QUALIFICATIONS & EXPERIENCE
- Diploma in Pharmacy or any Science-related field.
- A minimum of 2 years of experience in a similar role.
- Proven experience in pharmaceutical product sales.
- Supplier knowledge, familiarity with pharmaceutical suppliers and procurement processes.
- Strong communication and negotiation skills to drive sales.
- Attention to detail and ability to provide accurate cost effective quotations. Working knowledge of systems i.e., SAP, Sage, NetSuite.
- Excellent analytical and problem-solving skills.
- Excellent writing, communication and presentation skills.

- Quotation Management: Prepare, process and submit quotations accurately by reviewing prices on dashboards, sourcing non-stock items from suppliers and referencing previous quotes to maintain competitive pricing trends.
- Order Processing: Follow up on customer orders, monitor the movement of goods and ensure timely delivery to the Kits Store. Coordinate with the Purchasing Department for non-available items and ensure proper documentation of Local Purchase Orders (LPOs).
- Operational Support: Assist the Quotations Manager in managing sales administration, operational performance reporting and streamlining the processes and systems to enhance efficiency and customer satisfaction.
- Compliance and Quality: Implement and adhere to approved standard operating procedures, company policies and the quality management system requirements to maintain operational excellence.
- Coordination and Communication: Facilitate effective communication and collaboration among departments, suppliers and the Head of Department to address issues promptly and ensure smooth workflow.
- Reporting and Documentation: Ensure timely submission of quotations in line with customer requirements, including correct formats, currencies and tax considerations. Maintain accurate records of all quotations, orders and related correspondence.
- Continuous Improvement: Support initiatives to improve quotation turnaround time, operational effectiveness and overall customer experience by identifying areas for process optimization.
