About Trademarkia

Trademarkia is a global search engine for trademarks, serving over 125,000 clients worldwide. We help entrepreneurs, startups, and enterprises protect their brands across jurisdictions with cutting-edge legal technology.

We are building a Center of Excellence in Nairobi, Kenya, focused on AI-driven legal operations to support our global attorney network.

The Role

This is not a traditional legal assistant role.

We are looking for an AI-first operator—someone who thinks like a builder, automator, and systems designer. You will act as a force multiplier for U.S. and global attorneys, helping them focus on client interaction while you streamline everything else.

You will manage high-volume workflows, especially email communications and task orchestration, using the most advanced AI tools and automation systems available today.

What You’ll Do

  • Act as an AI-native legal operations assistant supporting U.S. and international attorneys
  • Manage and optimize high-volume email workflows using AI (Gmail automation, filters, templates, smart routing)
  • Build and maintain AI-powered systems for:
    • Client intake and follow-ups
    • Document handling and summaries
    • Task tracking and prioritization
  • Use tools like:
    • Claude (CoWork / AI workflows)
    • Google Gemini
    • Gmail automation / Google Workspace automations
    • Zapier / Make / scripting tools (where applicable)
  • Continuously learn and implement best practices in AI-assisted productivity
  • Serve as an AI agent steward—designing, refining, and improving workflows over time
  • Ensure all communications are professional, precise, and client-ready
  • Identify inefficiencies and proactively build automation-first solutions

Who You Are

  • AI-native thinker — you instinctively reach for automation before manual work
  • Comfortable managing large volumes of tasks and emails with precision
  • Strong communicator with excellent written English
  • Obsessed with efficiency, systems, and continuous improvement
  • Able to operate in a fast-paced, high-responsibility environment
  • Curious, self-learning, and constantly experimenting with new tools

Ideal Background

  • Experience as a legal assistant, operations specialist, or executive assistant (preferred but not required)
  • Hands-on experience with:
    • AI tools (Claude, ChatGPT, Gemini, etc.)
    • Google Workspace automation
    • Workflow tools (Zapier, Make, Notion, etc.)
  • “Builder” mindset—comfortable with light scripting, automation, or vibe coding
  • Experience supporting U.S. or international professionals is a plus

What Makes This Role Unique

  • You will be part of building a next-generation AI-powered legal operations team
  • Direct exposure to global legal workflows and clients
  • Opportunity to become a leader in AI-assisted professional services
  • Work in a role where automation replaces repetition

Compensation

We offer a competitive salary based on skill and capability.

Suggested range (Nairobi market):

KES 150,000 + per month (~$1,000 + USD/month)

Top candidates with strong AI + automation skills may exceed this range

Final Note

We are not looking for a traditional assistant.

We are looking for a superstar—someone who can think like an engineer, communicate like a professional, and operate like an AI-native system builder.

If that sounds like you, we want to hear from you.
