Job Overview:

The Procurement Assistant will support the procurement function by sourcing, purchasing, and coordinating suppliers, while ensuring proper documentation and compliance. This role plays a key part in maintaining efficient procurement processes across projects, particularly for IT hardware, CCTV equipment, and related services.

Key Responsibilities:

  • Assist in sourcing and evaluating suppliers for IT hardware, CCTV equipment, and related services.
  • Request, review, and analyze quotations; prepare comparison sheets for decision-making.
  • Prepare and issue purchase orders and follow up on confirmations.
  • Maintain and update supplier records, contracts, and pricing databases.
  • Track shipments and coordinate deliveries to project sites.
  • Assist with import documentation and delivery processes.
  • Organize and maintain procurement files and records systematically.
  • Coordinate with project, technical, and finance teams to ensure timely procurement.

Skills & Personal Attributes:

  • Diploma or Bachelors degree in Procurement, Supply Chain Management, Business Administration, or a related field.
  • Professional certification in procurement such as CIPS (Chartered Institute of Procurement and Supply) or equivalent is an advantage.
  • Proven experience as a procurement assistant or in a similar role.
  • Knowledge of procurement laws, regulations, and best practices.
  • Strong negotiation, communication, and interpersonal skills.
  • Proficiency in procurement software and tools.
  • Excellent attention to detail and analytical skills.
  • Ability to work effectively both independently and as part of a team.
  • Strong organizational and time management abilities.

Preferred Qualifications:

  • Experience in project-based procurement management.
  • Familiarity with IT and technical equipment related to CCTV, access control, and similar systems.
  • 1–2 years experience in procurement or supply chain, preferably in an IT or technical environment.
